The basics

The field list and the four areas

Where a field stands decides what it does: down the side, across the top, in every cell, or narrowing the pivot.

The four areas

AreaWhat a field does there
RowsIts items run down the side. A second field runs under the first: each item of the first opens and closes.
ColumnsIts items run across the top.
ValuesIt is summarised in every cell.
FiltersIt narrows the pivot without being laid out. What it keeps is said above the grid.

A field stands in one of Filters, Columns and Rows; in Values it can stand more than once.

Moving a field

  • In the field list, a field's ⋯ menu has Add to Filters, Add to Columns, Add to Rows and Add to Values; or drag the field into an area.
  • A field in an area opens a menu: Move up, Move down, Move to another area, Filter items…, the order of its items (A to Z, Z to A), Summarise by and Rename… for a value, and Take out.
  • With several value fields, Σ Values stands in Columns as a field of their own: move it to Rows, and each item has a line for each value field.
  • The field list is in the entity's Source order or A to Z.

Tip By keyboard: Enter or Space ticks a field; Enter on ⋯ or on a field in an area opens its menu, the arrow keys walk it, Escape leaves it. On a field in an area, Alt with the up or down arrow moves it and Delete takes it out.

In the grid

  • A field's name opens Sort A to Z, Sort Z to A, Filter items…, Close every item and Open every item.
  • A value's name, or a right-click on a number, opens Summarise by and Rename….
  • The numbers are one stop of the Tab key: the arrow keys move among them, and Enter lists a number's records.
  • Drag the edge of a column's heading to make it wider or narrower.
