Correct, delete and restore a record
In Explorer you open one record, correct its fields, delete it if it was a mistake and bring it back if you need it again. Its history shows who changed what.
For: Member, Tenant administrator
Prerequisite
Anyone who can read the tenant's records can open a record and read its history. Correcting, deleting and restoring need record.write in the tenant; without it the record view shows a note instead of Edit and Delete.
Correct a record
- Open Records (its first lens is Explorer) and click the record in its column, so it is the only one selected.
- Press Open record at the foot of the column.
- Press Edit, change the fields and press Save. A read-only field stays as text.
- If a rule is broken, the record view names the field and nothing is saved.
When someone else changed it first
If another person saved a field after you opened the record, your value is not written over theirs. You see the value you started from, theirs and yours; press Keep current value or Use my value. Your other changes are already saved.
Delete and restore
- In the record view, press Delete and read what happens: the record leaves every column, its relations are kept but hidden, it can be restored, and it is removed for good only through Data Governance.
- Press Delete record to confirm.
- To bring it back, choose Show deleted records in the column menu and press Restore next to it.
Good to know
- Deleting and restoring are refused, with the reason, while the record or the tenant is under a legal hold. A record of a system entity cannot be deleted.
- A value can be changed but not emptied yet; enter the right value instead.
- The History tab lists each value with when it was saved. Who saved it is shown for changes made in the record view and for deletions and restorations; older values say “not recorded”.
